Professional email without hosting: getting started

Reviewed on 9 min read cuentas de correo configuracion de correo

Professional email without hosting is email with your domain (hola@tuempresa.es) without ordering a hosting plan. It is useful when your website is on Wix, Shopify, Squarespace or Webflow, or when you do not have a website yet. Everything is managed from your client area, under Email: there is no cPanel.

If your website is on Hostsuar hosting, you do not need this: email for your domains is already included in the plan.

Order it

  1. Go to Order → Professional email or to the professional email page.
  2. Choose whether you already have the domain (here or with another provider) or want to register a new one.
  3. Choose how many mailboxes you need and, if you like, extra GB to share between them.
  4. Choose monthly or annual payment: the monthly cost is the same.

A plan is always one domain. For another domain, add another plan to the same basket.

Item Price per month, excluding VAT
First 5 GB mailbox €2
Each additional 5 GB mailbox €1.50
Each extra GB, on the mailbox that needs it €0.30

Forwarders and aliases are unlimited and do not count as mailboxes.

Connect the domain

Once you pay, we activate email for the domain. What is left depends on where its DNS is, and Email → your domain → Connection and DNS always tells you:

  • The domain is new or its DNS is already with Hostsuar. We add the email records ourselves, and if it currently receives email elsewhere (Google, Microsoft, your previous provider), we also change the MX. You do not have to touch anything. Create your mailboxes as soon as it is activated so you do not lose messages.
  • It is registered with us but its DNS is elsewhere (Cloudflare, Wix…). You have two options:
    • Switch to Hostsuar DNS with one button. Before switching, we copy what is visible of your website (the domain and www) and the verification TXT records, so the website keeps working, and we add the email records. If you use other subdomains, add them afterwards in the DNS zone: they cannot be seen from outside.
    • Add the records yourself at your current provider, using the list we give you.
  • It is registered elsewhere or its transfer is in progress. There you will see the missing records (MX, SPF, DKIM and DMARC) with their name, their value and a button to copy them. Add them in your provider's DNS panel and click Check. You do not need to transfer the domain.

DNS changes take anywhere from a few minutes to a few hours to show up. If you already had an SPF record, do not add another: replace it with the one we give you, which keeps what you were already authorising.

Once it works, we keep an eye on it: if one day the MX stops pointing to Hostsuar (this often happens when you move the website to another platform by changing the name servers), we let you know by email and in the client area, with what needs to be put back.

Create the mailboxes

In Email → your domain → Mailboxes, click Add mailbox, type the name (hola, ventas…) and, if you like, a password. If you leave it empty, we generate a secure one. The password is shown only once when the mailbox is created: save it at that moment. If it is lost, change it from the mailbox menu.

From the same menu you can change the password, change its space, block login, receiving or sending, and delete it. The Webmail button opens that mailbox's email in the browser without asking for the password.

Bring over email from another provider

If you have had your email at Gmail, Outlook or another host until now, in the Bring over email section we copy each mailbox's messages and folders to its new mailbox. Create the mailboxes here first and have each one's password to hand, both source and destination. Nothing is deleted at the previous provider, and you can repeat the copy after changing the MX to bring over the latest messages. The steps and the usual errors are in Migrate email from the panel with imapsync.

Add space to a mailbox

Each mailbox comes with 5 GB. If one runs short, click Change the space in its menu and choose how many GB you want, one or five at a time. If your plan has unallocated extra GB, it applies straight away. If not, you buy the ones you need, at €0.30 a month each, paying only for the days left in the period, and the mailbox is upgraded once you pay.

The extra space belongs to the plan: if a mailbox no longer needs it, take it away and give it to another. What you cannot do is leave a mailbox with less space than it is using.

When a mailbox goes over 90% of its space we let you know by email, with a link that opens its Change the space directly: a full mailbox bounces the email it receives.

Set up your phone and computer

In Email → your domain → Phone and computer you have each mailbox's details, with the username already filled in and buttons to copy them. You can also get there from each mailbox's menu, under Set up on your phone. They are:

Field Value
Incoming and outgoing server mail.tudominio
Username the full email address
Password the mailbox password
IMAP (recommended) 993, SSL/TLS
POP3 995, SSL/TLS
SMTP 465, SSL/TLS, or 587, STARTTLS

The outgoing server asks for a username and password: the same ones. If mail.tudominio does not point to our server yet, the section warns you: finish connecting the domain first. The steps for each app are in iPhone and iPad, Android and Mail for Mac.

Forwarders, autoresponders and antispam

  • Forwarders and aliases: have info@ and ventas@ arrive in one of your mailboxes, or have facturas@ also reach your accountant. In the same section you decide what happens to mail sent to an address that does not exist: bounce it to the sender (recommended) or keep it in a mailbox.
  • Autoresponders: for holidays or leave, with optional start and end dates. Each sender gets a reply at most once a day.
  • Antispam: mailbox by mailbox, choose whether anything that looks like spam goes to the Spam folder, is deleted or is left in the inbox, at a normal or strict level. You can also block senders or whole domains.

More or fewer mailboxes

In Plan and billing:

  • Add mailboxes mid-period: you pay only for the days left until renewal, whose date does not change.
  • Next renewal: lower the number of mailboxes or stop renewing. It applies when the period ends, and never below the number of mailboxes you have created: if you want to go down to two, delete the ones you do not need first.

If a payment is late, email is suspended mailbox by mailbox without deleting anything, and it starts working again once you pay the invoice.
