Manage your domain's email from Gmail
In January 2027 Gmail withdraws its integration with accounts from other providers. Send mail as with your address, POP fetching (Check mail from other accounts) and Gmailify stop working, even if you already have them set up. Until then, Google may block new setups. You can still use your email in the Gmail mobile app, in an email program or in our webmail. Google's official announcement explains it.
This guide explains what changes, how to send properly from your address in the meantime and what to do before that date.
What changes and what does not
| Feature | From January 2027 |
|---|---|
| Send mail as with your address, in Gmail web and in the app | Goes away, including the one you already have set up |
| Check mail from other accounts (POP) in Gmail web | Goes away. It no longer accepts new accounts |
| Gmailify | Goes away |
| Your account added over IMAP in the Gmail mobile app | Keeps working |
| Email programs (Outlook, Thunderbird, Apple Mail) and webmail | Keep working |
| Send mail as between Google addresses (another Gmail account, Google Workspace alias) | Keeps working |
Messages already imported into Gmail stay in Gmail. The details of POP fetching are in Google's notice about Gmailify and POP.
Why the app works and the website does not
In Gmail web, your mailbox is not connected to Gmail. It is Google's servers that fetch your email over POP and send on your behalf with Send mail as. That is what Google is withdrawing.
The Gmail mobile app works differently: it adds your mailbox as one more account and connects from the phone directly to our server over IMAP and SMTP, just like any email program. That does not change.
Bear in mind that Send mail as from your Gmail account also goes away in the app. What keeps working is having your mailbox added as an account in its own right and writing from it.
Send from your address without landing in spam
Until January 2027 you can keep using Send mail as if you already have it. How it is set up decides whether your messages arrive properly:
- Without our SMTP server, Gmail sends the messages from its own servers. The technical sender is usually your Gmail address, which is why Outlook shows "on behalf of", and the DKIM signature is Gmail's. The recipient gets an email from your domain that is neither signed nor authorised by your domain, and may well put it in spam.
- With our SMTP server, messages leave our server signed with your domain's DKIM and authorised by its SPF.
Adding Google to your SPF does not fix the first case: the receiver checks gmail.com's SPF, not your domain's, and the signature is still Gmail's. If you send through our server, you do not need it either. You only need Google in the SPF if you send from Google Workspace.
To make Gmail send through our server:
- In Gmail web, open Settings > See all settings > Accounts and Import.
- Under Send mail as, click edit info next to your address. Do not delete it to add it again: Google may no longer let you add it back.
- Go on to the server details and choose to send through your domain's SMTP server.
- Enter these details and save:
| Field | What to enter |
|---|---|
| SMTP server | The one shown in cPanel > Email Accounts > Connect Devices, usually mail.tudominio.com |
| Port | 465, with a secure SSL connection |
| Username | Your full email address |
| Password | The mailbox password, not your Google account password |
Gmail requires that server to have a valid certificate. If mail.tudominio.com points to our server, the free certificate covers it.
Send a test to an account with another provider and check that "on behalf of" no longer appears. Also check which address replies go to. If Gmail gives the error "You no longer have access", follow this guide.
Add the account to the Gmail app
This is how you can keep using Gmail with your address after January 2027.
On Android, iPhone or iPad, open the Gmail account switcher and use the option to add another account. Choose the option for other accounts, not Google, and set it up as IMAP.
Enter the full address and the details shown in cPanel > Email Accounts > Connect Devices:
| Field | What to use |
|---|---|
| Username | Full email address |
| Password | The Hostsuar mailbox password |
| Incoming | IMAP server and secure port given by cPanel |
| Outgoing | SMTP server with authentication and SSL given by cPanel |
Do not guess using the web server's name or accept a certificate that does not match the server. Test receiving and sending to another account before considering the setup finished. Your email stays on our server and the app syncs it over IMAP, so you will see the same in webmail and on your other devices.
Review an existing POP fetch
In Gmail web, open Settings > See all settings > Accounts and Import and check the existing account under Check mail from other accounts. Do not delete it to try adding it again: new accounts are no longer accepted.
Check the full username, mailbox password, POP server given by cPanel, port 995 and SSL connection. Check whether a copy is left on our server before changing that option or cancelling the hosting.
Gmail decides how often it checks over POP: it is not real-time syncing. Even if it still works, get the alternative ready before January 2027.
What to do before January 2027
Choose how you will read and send your email once Gmail stops fetching it:
- The Gmail mobile app, with your mailbox added over IMAP, as explained above.
- An email program on your computer. You will find the details in email connection details.
- Our webmail, from any browser.
- Google Workspace, if you want to keep working in Gmail web with your domain. It is Google's paid service: your domain's email moves to Google and its Send mail as is not affected. How to connect it is in set up Google Workspace.
Forwarding all your email to Gmail is no substitute for POP fetching: it has authentication and delivery limitations and does not let you reply from your address.
Before removing a setup, check that the new one receives and sends, and keep any messages that are only on one device.
