Set up IMAP and SMTP email in SugarCRM
SugarCRM can read and send email using an existing account. Option names vary by edition and version, but you should get the current settings from cPanel > Email Accounts > Connect Devices or from the external provider.
For an account hosted in cPanel, use the secure settings where possible:
- User Name: the full email address, for example ejemplo@yourdomain.com
- Password: the email account's password
- Mail Server Address: the incoming server shown in cPanel
- Mail Server Protocol: IMAP
- Use SSL: enabled
- Mail Server Port: 993, unless cPanel shows another
- Monitored Folders: select the folders the server shows, for example INBOX for incoming mail, INBOX.Trash for deleted items and INBOX.Sent for sent mail. Use their actual names and capitalisation.
Before creating each account you will need to add an SMTP server for sending email. We recommend giving each account its own SMTP server rather than sharing a single outgoing server:
- SMTP Server: the outgoing server shown in cPanel
- Use SMTP Authentication: enabled
- SMTP Port: 465 with implicit TLS or 587 with STARTTLS, as the provider indicates
- Enable SMTP over SSL or TLS: the option that matches the configured port
- SMTP Username: the full email address, for example ejemplo@yourdomain.com
- SMTP Password: the email account's password
Do not use the old unencrypted values of IMAP 143 and SMTP 25 over the network. And do not assume the server is mail.yourdomain.com: use the name covered by the certificate that cPanel shows. If SugarCRM and the email are with different providers, follow only the email provider's documentation and check whether it requires OAuth instead of a password.
Send a test message and also check that mail is received. If your SugarCRM version is no longer maintained or does not support current authentication protocols, update or replace it before relaxing the mailbox's security.
Tell apart what each account is for
A personal account, a shared mailbox for support cases and the notification sender may be configured in different places in SugarCRM. First identify the purpose and permissions; do not turn a personal mailbox into a shared one just so other users can see its messages.
When testing, send from the intended user and check which address appears as the sender and where the sent message is stored. For incoming mail, check the folders, the polling interval and access for the other authorised users. IMAP syncs changes: deleting a message from the CRM may affect the mailbox.
If sending works but receiving does not, investigate IMAP separately. If neither works, check the connection, credentials and authentication compatibility. Do not publish logs that include passwords, tokens or customer content.
